Facility Rental Policy

The Eternal Gandhi Museum Houston (EGMH) offers select spaces for rental to support events that align with the museum’s mission of education, reflection, dialogue, and community engagement. This Facility Rental Policy outlines the expectations, responsibilities, and conditions governing the use of museum facilities.

All facility rentals are subject to approval, availability, and adherence to this policy. EGMH reserves the right to decline or cancel events that are inconsistent with the museum’s mission, values, or operational requirements. 

Eligibility and Appropriate Use 

Museum facilities may be considered for educational lectures, seminars, panel discussions, cultural, nonprofit, and civic programs, and private meetings consistent with the museum’s values. Commercial, political, or promotional events are generally not permitted. 

A completed Facility Rental Interest Form is required to initiate the reservation process. A reservation deposit is required to hold the event date. Final approval is confirmed only after receipt of the required deposit, documentation, and signed agreement. The remaining balance must be paid no later than 30 days prior to the event date. 

Facility rentals are available Tuesday through Sunday, 10:00 a.m. to 10:00 p.m., subject to availability. Rental time includes setup, event duration, and breakdown. Early access or extended hours may incur additional fees

To preserve a respectful environment consistent with the museum’s mission, alcohol, non-vegetarian food, smoking, vaping, illegal substances, and open flames are not permitted. All guests and vendors must comply with museum staff instructions at all times. 

Catering services must be pre-approved by the museum. All food served must comply with museum dietary guidelines. Caterers are responsible for cleanup of food preparation and service areas. 

Only free-standing decorations are permitted. Adhesives, nails, tape, confetti, glitter, candles, or open flames are not allowed. Decorations must not obstruct exits or exhibits and must be removed immediately following the event. 

All events must comply with posted occupancy limits and fire safety regulations. Emergency exits must remain unobstructed. Accessibility requirements must be respected. 

Renters may be required to provide a certificate of liability insurance naming the Eternal Gandhi Museum Houston as an additional insured. Insurance documentation must be submitted at least 30 days prior to the event. 

Certain events may require on-site security or museum staff support. Associated fees will be communicated in advance. 

Cancellation requests must be submitted in writing. Refunds, if applicable, are issued in accordance with the rental agreement. Reservation deposits may be non-refundable. Date transfers are subject to availability. 

Renters are responsible for leaving the facility in the condition in which it was received. Repair or cleaning costs beyond normal wear may be deducted from the security deposit. 

The museum is not responsible for personal items lost or left behind during events. 

The Eternal Gandhi Museum Houston reserves the right to amend this policy at any time.
